What to include in your message
Five things cover almost every quote. The event date, including the time the decor needs to be finished by. The venue name or the address, and whether it is a home, a rented hall, an office or an outdoor space. The occasion, since a first birthday and a grand opening are built differently. The colors you have in mind, or a photo of the invitation, the cake design or a reference image you like. And a photo of the wall or corner where the decor is going.
That last one does more work than the rest combined. Ceiling height, wall width and how much floor space is in front of the wall all change what can actually be built, and a photo answers all three at once. A rough phone photo is fine. Nothing needs to be tidy.
If you do not have all five yet, send what you have. A date and a rough idea is enough to start.
What happens after you reach out?
The first reply covers a design direction and a quote based on what you sent, along with any questions the details raised. Common ones are whether the venue allows anything on the walls, when the room opens for setup, and whether the setup is indoors or out. Once the design and the price are settled, the date gets held. Colors are ordered after that, which is why the palette gets confirmed before anything is sourced.
From there the piece is built by hand ahead of the event, installed before guests arrive, and taken down after the event ends.
Which areas are covered?
Bellingham and Fairhaven are the core of the service area, with regular work throughout Ferndale, Lynden, Everson, Nooksack, Sumas, Blaine, Birch Bay, Custer, Deming and the surrounding Whatcom County communities. Setups happen in private homes, apartment and condo clubhouses, rented event halls, church fellowship rooms, community centers, converted barns, tasting rooms, restaurants, hotel meeting space, school gyms, park shelters and office lobbies.
If your address sits just outside that list, ask anyway. Some dates allow for a longer drive than others.
When to reach out for a specific date?
Two to four weeks ahead is comfortable for most setups and leaves room to source specific colors. Anything with a lettered custom backdrop deserves more, since the lettering is cut to order. Larger builds and multi piece setups benefit from more lead time as well.
Certain stretches fill faster than others in Bellingham. June is the tightest month because of graduations at Western Washington University, Whatcom Community College and Bellingham Technical College, along with the end of the school year. Late November through New Year fills with holiday parties and business events. Dates in those windows are worth locking in early.
Short notice is still worth asking about. Availability comes down to what else is already booked for that date, and dates are held in the order they are confirmed.
